Planning guide
Questions to ask a venue before you book
Take this list to your viewings. The answers make venues much easier to compare.
Availability and numbers
- Is our date free, and how long will you hold it for us?
- What are the capacities for a ceremony, a seated meal and an evening party?
- Is there a minimum number of guests or a minimum spend?
- Do we have the venue to ourselves, or could there be another event on the same day?
Costs
- What exactly does the hire fee include: tables, chairs, linen, staff, cleaning?
- How much is the deposit, and when is the balance due?
- What would we pay if we cancel or move the date?
- Are there extra charges for corkage, cake cutting, security, overtime or service?
Timings
- What time can suppliers get in to set up, and when must everything be cleared?
- What time does the bar close and the music have to stop?
- Is there a curfew or noise limit we need to know about?
Food, drink and suppliers
- Can we use our own caterer, or only yours?
- Can we bring our own drinks, and is there a charge?
- Do you have a list of required or recommended suppliers?
- What power is available for a band, DJ or lighting, and are there any restrictions on candles, confetti or smoke machines?
Guests and access
- Is there step-free access and an accessible toilet?
- How much parking is there, and can cars stay overnight?
- Are there rooms on site or partner hotels nearby?
- What is the plan if it rains?
The small print
- Do suppliers need their own public liability insurance?
- Who will be our contact on the day?
- Can we see the full terms and conditions before paying a deposit?
